Bruns B.V. is a company that develops high-quality exhibitions and exhibits for museums and information centres worldwide. With more than a hundred employees and a large number of projects, it is an organization where accurate and efficient time tracking is indispensable.
The problem
Bram Rombouts, head of administration at Bruns B.V. explains that until recently the time registration and mileage tracking was done in an Access database. There were a lot of malfunctions and system maintenance was difficult. For example, it was not easy to add new employees to the system. It was decided to replace the old time registration system with a system that is easy to use and requires little maintenance.
The solution
While searching for a suitable time tracking system, Bruns B.V. came across Project Hours. ‘Registering projects and subprojects was exactly what we needed, we saw less of this with other systems’, says Rombouts. Entering hours is easy and the mileage registration also works nicely. About 90 percent of employees use the Project Hours mobile app to enter hours. Previously, everyone had to call in hours by phone, now the employees on location can directly enter the hours on the mobile phone.
Integration into the business process
The time registration is integrated into the business process as much as possible with automatic interfaces between systems. To achieve this, the project administration in Microsoft Business Central is linked to the Project Hours API. This makes it easy to exchange project data between the systems.
This works both ways. On the one hand, the list of projects is automatically synchronized in Project Hours so that employees can always find the right projects for time registration. In addition, every day the logged hours are automatically exported for reporting with Power BI. A manual export of hours is done in Excel for daily processing in Business Central. Of course, this is still part of the process that can be further automated.
The future
Rombouts is pleased with the future-proof system for the administration of Bruns B.V. The problems with data entry and system maintenance are a thing of the past and the automatic links and reports save a lot of time.
There is, of course, room for further improvement. In consultation with Rombouts, Project Hours will be expanded with improved options for marking time sheets as completed so that it becomes easy to determine whether all employees have filled in their hours. In addition, there will be a possibility to send employees a message to fill in hours if that has not already been done.
Through the collaboration with customers such as Bruns B.V., Project Hours becomes a better system that offers a complete, easy-to-use and affordable solution for time tracking for businesses.
